Guest Programs Coordinator


Location: Wolf Park, Battle Ground, IN

Reports to: Public Engagement Director

Position Type: Full Time Exempt Salary

Pay Rate: $40,000 annually


Position Summary

The Guest Programs Coordinator oversees the planning and implementation of public-facing programs at Wolf Park, including on-site tours and specialty programs. This role is responsible for scheduling and training guides, maintaining booking systems and calendars, and coordinating with other departments to ensure a seamless and positive guest experience.


Key Responsibilities

Program Coordination

  • Design and implement public programs including tours, and specialty experiences.
  • Book and manage Photography Program sessions.

  • Collaborate with various staff to market and support program offerings.

  • Ensure all programs align with Wolf Park’s mission and educational goals.


Tour Logistics & Scheduling

  • Schedule tours and keep relevant calendars up-to-date.

  • Work with Visitor Center & Engagement Manager to determine staff/volunteer/intern tour and program scheduling.

  • Create and maintain accurate program information in Singenuity.

  • Coordinate logistics with other departments to support smooth program delivery and guest satisfaction.

  • Provide/facilitate guest tours and programs as needed.


Training & Supervision

  • Schedule, train, and support Interpretive Naturalists in public engagement and program delivery.

  • Ensure all educational staff and volunteers are prepared to deliver program content effectively and consistently in conjunction with the Public Engagement Director.


Program Evaluation (Audit)

  • Collect feedback from participants, staff, and stakeholders to assess strengths and identify areas for improvement.

  • Maintain records of attendance and program performance.

  • Recommend improvements based on feedback and observation to enhance program quality and impact.


Collaboration & Public Engagement

  • Assist in the coordination of Wolf Park events and provide primary support for community tabling and outreach events, including research and logistics of available opportunities.

  • Maintain effective communication with guests to support satisfaction and engagement.

  • Collaborate with the Public Engagement Director and other team members to align programming with Wolf Park’s broader outreach goals.


Other Responsibilities

  • Obtain cross-training for animal care clearances in the event that back-up assistance is needed.

  • Other duties and projects as assigned.


Required Qualifications

  • Experience in public speaking or coordinating/delivering guest programs, ideally in an educational, conservation, or wildlife context.

  • Strong organizational skills with the ability to manage multiple priorities and tasks.

  • Effective communication and interpersonal skills; able to work both independently and collaboratively.

  • Experience scheduling staff or volunteers and managing program logistics.

  • Familiarity with educational programming, wildlife conservation, or nonprofit work.

  • Interest in evaluating and improving guest experience and program outcomes.

  • Comfort using booking and scheduling software (e.g., Singenuity or similar systems).


Working Conditions

This is a full-time position that requires scheduling flexibility, including availability for weekends, holidays, and occasional evening shifts to support special events, educational programs, and organizational needs. The role includes a combination of desk-based administrative work—such as data collection, program evaluation, and reporting—and active involvement in meetings, training sessions, and program oversight. Candidates must be comfortable working both indoors and outdoors in a variety of weather conditions.
